Did you get a "mailbox quota" email warning?

This tutorial will teach you how to empty or delete unnecessary emails sitting on the mail server in your account.

First, some basics to understand the message better:

  1. Each client has a specific hosting plan.
  2. This hosting plan allows for a certain amount of hosting space.
  3. This space is shared by the website and email users for a specific domain.
  4. Storing too much mail on your mail server will lead to quota over-usage.  Warnings are sent to prevent this from happening.

Why is my mailbox continuously exceeding its quota?

If you only use smart devices (Smartphones, IPads, Tablets etc.) to check your email.  These devices retrieve copies of the email to your device.  The email is stored on the Email Server.  Too many messages stored on your smart device will overuse your mailbox quota.

Keeping a copy of your incoming mail on the server when using a PC or Mac will eventually cause your mailbox size to exceed the quota.  This is normally a setting in your email program that was installed by default.  Click the button below to resolve this problem.

Step 1 - Mark items

Mark Mail To Delete

Mark the email messages to delete.

  1. Click on the area you wish to delete messages in.
  2. Select inbox, sent, junk or trash to view unnecessary messages.
  3. Click in the flag column next to the messages you wish to delete to mark them.
  4. A Flag icon will appear next to the messages you have marked.

Step 2 - Select marked items

Now you need to select the marked items so we can delete them.

  1. Click on the "select" box at the bottom of your screen.
  2. In the popup box, click on "Flagged".
  3. The messages flagged will turn blue to show your selection.
  4. Review your selection before deleting.

Alternative Method

Select All To Clear Mailbox

Select all the items in the mailbox to delete simultaneously.

  1. Click on the "select" box at the bottom of your screen.
  2. In the popup box, click on "All".
  3. All your messages will turn blue to show your selection.
  4. Review your selection before deleting.

Step 3 - Delete

Delete Selected Mail

Now you can go ahead and delete the items to free up space.

  1. Review your selection before deleting.
  2. All items highlighted Blue will be deleted
  3. Click on the "Delete" button at the top of your screen.
  4. Remember that deleted items cannot be restored.


TIP: You may have pages full of old emails in your webmail. Take your time and navigate through all the items and remove all unwanted email. Smart device users will need to visit back regularly to clean up or remove messaged from their smart devices on a regular basis.
